How to send a professional invoice on WhatsApp (with a free template)
What a good invoice includes, how to send it on WhatsApp so clients pay, and polite reminder messages to copy. For freelancers and small businesses in Pakistan.
Most small businesses in Pakistan already talk to clients on WhatsApp. So that's also where the invoice should go. The problem is how it's usually sent: a typed message like "Total 7000 hai, JazzCash kar dein" that gets lost under fifty other messages.
A proper invoice on WhatsApp gets you paid faster, looks professional, and gives both of you a record. This guide shows what to include, three ways to send it, and the reminder messages that work without sounding rude.
What a good invoice includes
Whether it's for a cake order, a logo, or a month of tuition, an invoice needs the same basic parts:
| Part | Example |
|---|---|
| Your business name and WhatsApp number | Zaiqa Home Bakes, 0301 2345678 |
| Invoice number | INV-0014 |
| Date, and due date if any | 25 Oct 2026, due 30 Oct |
| Client's name | Ayesha Khan |
| Items with quantity and price | 2 × chocolate cake (2 lb) @ Rs 3,500 |
| Delivery or extra charges | Delivery Rs 300 |
| Total | Rs 7,300 |
| How to pay | JazzCash / Easypaisa / bank account number |
| Status | Unpaid / Advance paid / Paid |
Two details make a big difference:
- An invoice number. It tells the client this is a real business, and it lets you match payments later.
- Payment details on the invoice itself. If the client has to ask "account number?", you've added a day to getting paid.
Invoice or receipt?
- An invoice asks for money: "please pay Rs 7,300".
- A receipt confirms money arrived: "received Rs 7,300, thank you".
Send the invoice before or at delivery, and the receipt when you've been paid. For advance payments, send a receipt for the advance and an invoice for the balance.
Three ways to send an invoice on WhatsApp
1. A typed message (fastest, least professional)
Fine for a one-off, but at least use a clear structure:
Invoice INV-0014, Zaiqa Home Bakes 2 × Chocolate cake (2 lb): Rs 7,000 Delivery: Rs 300 Total: Rs 7,300 Pay to JazzCash 0301 2345678 (Zaiqa) Thank you for your order!
2. A PDF or image (more professional, slower)
Make the invoice in Word, Canva or a free invoice generator, save it as a PDF, and send the file. It looks great and the client can save or print it.
The downside: every change means a new file, and you have no idea whether the client opened it.
3. An invoice link (professional and fast)
Send a short message with a link to the invoice. The client opens it on any phone, with no app or download needed, and can save it as a PDF. If you change something, the same link shows the update.
This is how the WhatsApp invoice generator in ClientoraHQ One works. You type the items, or write one line like "2 cakes 3500 each for Ayesha, delivery 300" and AI fills in the invoice. Then one tap opens WhatsApp with the message and link already written.
The message to send with your invoice
Keep it short and friendly, with the total in the message itself (many people won't open the attachment straight away):
"Hi Ayesha! Here's your invoice for the 2 chocolate cakes: Rs 7,300 in total. You can pay on JazzCash 0301 2345678. Thank you so much for ordering!"
For freelancers working with businesses, a little more formal:
"Hi Bilal, please find invoice INV-0021 for the website design (Rs 45,000), due by 5 November. Bank details are on the invoice. Let me know if you need anything else."
Polite payment reminders you can copy
Most late payments are forgotten, not refused. A friendly reminder usually works.
On the due date:
"Hi Ayesha, just a friendly reminder about invoice INV-0014 (Rs 7,300) for your cake order. Here's the link again. Thank you!"
A few days late:
"Hi Ayesha, hope you're well! Invoice INV-0014 for Rs 7,300 is still open. Could you let me know when you're able to send it? Happy to help if there's any problem."
When paid, always close the loop:
"Received Rs 7,300, thank you Ayesha! Here's your receipt. Hope to bake for you again soon."
Tips that make reminders work:
- Reply in the same chat as the invoice, so the history is right there.
- Always repeat the amount and invoice number. Never just "payment?".
- Send reminders during the day, not late at night.
- Thank them when they pay. It's the easiest way to get the next order.
Keep track of who has paid
Once you send more than a few invoices a week, the hard part is no longer making invoices but remembering which ones are still unpaid. Keep one list with every invoice, its total, and a paid / unpaid mark. A spreadsheet works. ClientoraHQ One does it automatically, with every client saved, so you can see what each one has paid and what's still open, and send a reminder in one tap.
If your orders come through Instagram, see our guide on how to track COD orders from Instagram. It uses the same idea for cash-on-delivery orders.
Quick checklist
- Invoice number, date, client name, items, total, and how to pay.
- Total written in the WhatsApp message too, not only the file.
- Receipt when the money arrives.
- A polite reminder on the due date, with the amount and number.
- One list of paid and unpaid invoices.
Do this for every order and you'll spend less time chasing money, and look like the business you are.
