Follow-ups that run themselves, and hand you only the leads ready to buy

How to follow up with leads on day 3, 7 and 14 without sounding like a bot, answer replies fast, and only step in when someone asks about price or wants a call.

Most freelancers and small agencies don't lose clients in the first message. They lose them in the follow-up.

You send a good message, the person is busy, and then nothing. A week later you've moved on to new leads, and the warm one goes cold. Or they do reply, with a simple question, and your answer comes two days late because you were working.

This post covers a follow-up process that fixes both problems, and how to run most of it on autopilot while still sounding like you.

1. Sort leads before you message anyone

Not every lead deserves the same effort. Before writing anything, put each one in one of three groups:

  • Hot: they need something now. The post mentions a deadline ("this week", "urgent"), a budget, or they've shared an email or WhatsApp number.
  • Warm: a clear need, but no urgency or easy way to reach them.
  • Cold: a vague post, or one that's weeks old.

Spend your daily message limits on Hot first, then Warm. Leave Cold alone, or come back to it when you have spare time.

2. Pick an approach, not a template

The same facts can open five different conversations. Rotate between these and track which one gets answers:

  1. Free mini-audit: one or two real findings about their site or setup, then an offer to send a short plan.
  2. Quick question: one line of context and one easy question. Very short.
  3. Proof: one relevant project you've actually done, tied to their situation.
  4. Compliment + idea: something genuine you noticed, plus one practical idea they could use even without you.
  5. Direct offer: what you'd do, what they get, how long it takes.
  6. Free resource: a checklist or a free check, offered first.

After 20 or 30 messages you'll know which approach your market answers. Most people never find out because they never track it.

3. Follow up on day 3, 7 and 14, with something new each time

A follow-up that only says "just bumping this" gives the reader no reason to answer. Each one should add something:

  • Day 3: a short nudge with one new useful point: a tip, a detail you noticed, a simple next step.
  • Day 7: a different angle. A bit of proof, or a free offer. One yes-or-no question.
  • Day 14: close the loop. Say you won't keep messaging and make replying easy ("just reply yes if…").

Then stop. Three follow-ups is persistent. Seven is spam.

And stop immediately when they reply, whatever the reply is.

4. Answer replies the same day, and know when to step in

Replies fall into a few kinds, and each has a right next move:

They say What to do
"No thanks" / "remove me" One polite line, then never message again
"Maybe next month" Agree, and actually check back on that date
A question Answer it from what you really do, then suggest a short call
"How much?" Don't guess a number. Ask one or two scoping questions, offer a call
"Let's talk" Confirm and fix the time yourself

The first three you can handle quickly, even with help. The last two are where the money is decided, and they deserve your full attention.

5. Let the software do the steady part

This is exactly how the Pipeline in ClientoraHQ works:

  • Every lead from LinkedIn, Instagram and local business searches is scored Hot, Warm or Cold.
  • The AI writes the first message in the approach you choose (or the one with the best reply rate so far) and follows up on day 3, 7 and 14.
  • It reads replies by email, LinkedIn and Instagram, answers questions, remembers "later", and closes a "no" politely. Out-of-office emails are ignored.
  • When someone asks about price, wants a call or is ready to start, it stops, sends you a notification, and gives you three ready replies. You set the meeting and the amount.
  • WhatsApp stays manual: the AI writes, you press Send, so your number is safe.

Auto-pilot sends a few messages an hour at most, only to Hot and Warm leads, inside your active hours. Or keep it in Safe mode and approve every message with one click.

The short version

  1. Score leads and message the hot ones first.
  2. Rotate approaches and track reply rates.
  3. Follow up on day 3, 7 and 14, adding something new each time.
  4. Answer replies the same day.
  5. Save your own time for price, meetings and deals.
